AUTHORIZATION TO APPROVE THE OFFER
In the ONe system, it is possible to create authorizations for the system operator role, which allow you to control the terms of the offer that the salesperson provides to the customer. Depending on the needs of the organization, you can configure the permission that will prevent further processing of the offer if it is exceeded:
- total gross/net value of the offer
- % value of the total margin on the offer,
- % value of the margin on a particular product line
Thanks to this, as an administrator, I have the ability to manage the authorization to accept offers, thanks to which only selected operators will be able to accept offers and transfer them to the client.
Eligibility to accept the offer - total gross/net value of the offer
As an administrator, I have the ability to add a condition to the role for the total net and gross value of the offer. A role with such permission assigned to the operator will allow or prevent the acceptance of the offer, thanks to which it will be possible to accept the offer only if the value of the offer is consistent with the value defined in the condition.
How to configure it?
1.Go to the CONFIGURATIONS > COMPANY tab
2. Go to the ROLES tab and click the "Edit" pencil icon next to the selected role or create a new role
3. Click ADD AUTHORIZATION > Select Areaorderpath > in the ACTIONS field, select OFFER APPROVAL > click ADD/EDIT CONDITION TO ACTION . It is important that the offer approval permissions are created as a new, separate permission.
4. After clicking on the “+Add/edit conditions to the action” button, a window will be displayed in which the condition Total net value of the offer / Total gross value of the offer should be selected
5. After selecting the Total net value / Total gross value condition, enter the appropriate value in the LOGICAL OPERATOR field, i.e.:
- smaller than
- less than or equal to
- equal
- bigger than
- greater than or equal to
In the VALUE field, enter the numeric value to be checked.
6. Changes will be saved after selecting UPDATE.
Based on the above example, an operator with such a role will be able to accept an offer only if the value on the offer is lower than PLN 1,000 net.
NOTE: The total value of the offer consists of the amount of all products on offer, the amount of delivery and the amount of payment.
Correct behavior of the right to accept the offer according to the defined parameters will work only when the PURCHASE PATHS action is not assigned to the role in the orderpath area. It is a right that gives the operator the ability to perform any action on the offer, including accepting the offer without taking into account the conditions.
After correctly defining the right and assigning it to the role, the operator, after logging into the system and attempting to accept an offer whose conditions are inconsistent with the parameters defined for the role, when attempting to accept the offer, will receive the message "The offer cannot be accepted because the permissions have been exceeded. Forward the offer to another operator."
On the example of the parameters visualized above, the operator has been assigned a role that makes it impossible to accept the offer if the total net value of the offer is not less than PLN 1,000 net. The consequence of this is the lack of the option to approve the offer when this amount is exceeded. In such a case, the operator may reduce the value of the offer or transfer it to another operator who has such rights.
Authorization to accept the offer - % value of the total margin on the offer,
As an administrator, I can add a condition to the role for % of the margin value on the entire offer. A role with such permission assigned to the operator will allow or prevent the acceptance of the offer, thanks to which it will be possible to accept the offer only if the value of the offer is consistent with the value defined in the condition.

It is a right that gives the operator the ability to perform any action on the offer, including accepting the offer without taking into account the conditions.

ATTENTION : The right to check the % of the product line margin on the offer will only work if the margin value has been manually changed by the operator or the fix price, discount has been changed, which in turn results in a change in the margin.If the % of margin on any product has not been edited, this permission is not checked.
Authorization to accept the offer - % margin value on a specific product line
As an administrator, I can add a condition to the role for % of the margin value on a specific product line. A role with such permission assigned to the operator will allow or prevent the acceptance of the offer, thanks to which it will be possible to accept the offer only if the value of the offer is consistent with the value defined in the condition.
