ONe contact management
FUNCTIONALITY AT AN ADDITIONAL COST
In the ONe system, it is possible to manage contact persons. Contact persons understood as contact details of people whose data are obtained from various sources (e.g. e-mail, business card, databases, Internet).
Adding a contact person to the system:
In order to create a new contact person in the ONe system, go to the CLIENT > USERS tab (Contacts) and then select the CONTACT PERSONS tab.
After clicking the ADD option, a window opens in which it is possible to enter data in the following sections:
- Master data,
- Additional data,
- Consent
- Binding
The contact person can be saved provided that at least one of the fields is filled in. When creating a contact person, there are no required fields to fill in. However, the condition for saving it is to fill in one or any field. After entering the data on the contact person card and clicking the CREATE option, it is saved and redirected to the list view of the contacts added to the system.
From this level, it is possible to view the data and filter the results using filters or by entering a phrase in the search engine
Editing lead data:
If you want to change the data, you can edit the contact person. To do this, click the three-dot icon on the right from the person's line and then click EDIT.
Removing a lead from the system:
To remove a contact person from the system, click the three-dot icon next to the contact person from the list of contacts, click the DELETE option and confirm the action.
Status DRAFT - CONTACT PERSON
In the ONe system, we support two statuses of contact persons:
- Draft- incomplete data entered in the MASTER DATA section or no connection with the client.
- Contact person – fully completed MASTER DATA and customer link.
Linking a contact person to a lead or account:
The ability to associate a contact person with a previously added lead or customer to the system is possible from the level of creating or editing a contact person in the CONNECTIONS section.
In this section, you can see the LEADS and CUSTOMERS tabs, depending on who the contact person is to be associated with, the system user goes to the selected one.
It is possible to create an association by searching for the appropriate client in the list and selecting the CONNECT option.
It is possible to search for the right lead or customer by searching the name of the customer/lead entered in the search engine. After searching, the search results will be presented in tabs with a number corresponding to the number of results.
In order to unlink a contact person from a customer or a lead, select the DISCONNECT option when a previously created connection is created.
Linking a contact person with a lead means that the name of the associated customer/lead is visible in the list of contacts in the CUSTOMER column.
On the other hand, from the customer's perspective, the association with a contact person means that the contact person will be visible after going to the customer's profile in the CONTACTS > CONTACT PERSONS tab.
Consent on the contact person
From the level of creating and editing a contact person, it is possible to mark the consents that the contact person accepts.
Ticking the box next to the name of the consent means that you accept it (the v icon on a blue background).
You can expand the detailed content of the consent by clicking the "v" icon next to the name.
Additional fields on the Contact Person:
In addition to the standard data on the contact person, it is possible to define your own additional fields. This may be data that we want to save due to the individual specifics of the company.
In order to add additional data on the contact person, go to the CONFIGURATIONS > SETTINGS > ADDITIONAL INFORMATION tab.
In the form, you need to define the type of field, its name, and availability in forms ("Visible" parameter). The parameter defined in the additional fields form will be available on the contact person if the following value is entered in the "visible" parameter: "backoffice-crm-contacts".
